1. ABOUT THESE TERMS

These Terms and Conditions apply to entries into sporting events organised by OneRace Events Ltd (“OneRace”, “we”, “us” or “our”).

The “Event” means the event identified during registration. The “Participant” means the person registered to take part in the Event.

By completing or authorising an event entry, the Participant confirms that they have read and accepted these Terms and Conditions, together with the event-specific information and policies published on the relevant event page.

2. ELIGIBILITY AND FITNESS TO PARTICIPATE

Participation in an endurance event can be physically demanding and carries inherent risks.

The Participant confirms that they are physically capable of taking part and accepts responsibility for deciding whether it is safe for them to participate. Anyone who is uncertain about their health or fitness should seek appropriate medical advice before taking part.

The Participant must tell OneRace about any relevant medical condition, disability, medication or allergy requested during registration. Relevant information may be shared with our medical provider or emergency services where reasonably necessary for the Participant’s safety.

If a medical or physical condition arises before the Event that may make participation unsafe, the Participant must withdraw or seek appropriate medical advice.

Participants must satisfy the minimum-age and eligibility requirements stated for their chosen event distance. Where required, a parent or legal guardian must complete or authorise the entry of a participant under 18.

3. ENTRIES AND PAYMENT

An entry is not confirmed until the required entry form has been completed and full payment has been received.

Entries are processed through our registration partner, Njuko, and may also be subject to Njuko’s applicable platform terms.

The Participant is responsible for ensuring that all information supplied during registration is complete and accurate and for keeping their contact details up to date.

An entry is personal to the registered Participant. It must not be sold, given away, transferred or used for a commercial promotion unless the transfer or use has been expressly authorised through the official OneRace process.

OneRace may refuse or cancel an entry where false information has been supplied, payment has not been completed, eligibility requirements have not been met or these Terms have been breached.

4. WITHDRAWALS, TRANSFERS, DEFERRALS AND REFUNDS

The withdrawal, transfer, deferral and refund options available for each Event will be published on the relevant event page or registration platform.

Requests must be made through the stated official process and within the published deadline. We cannot guarantee that requests received after a deadline will be accepted.

Where a transfer or change of distance is allowed, an administration charge or additional entry fee may apply. If a Participant moves to a lower-priced distance or event, the difference in entry fees will not normally be refunded unless the applicable event policy states otherwise.

Entries must not be transferred privately. A Participant taking part under another person’s details may be disqualified, and both entries may be cancelled without refund.

Nothing in these Terms affects any statutory consumer rights that cannot lawfully be excluded.

5. EVENT CHANGES, POSTPONEMENT AND CANCELLATION

OneRace may make reasonable changes to an Event where required for safety, operational reasons or circumstances outside our reasonable control. Changes may include the route, distance, schedule, start procedure, venue facilities, competition rules or event format.

Circumstances outside our reasonable control may include severe weather, unsafe ground or water conditions, venue or land-access restrictions, emergency-service instructions, transport disruption, security concerns, public-health incidents or the actions of a governing body or public authority.

If an Event is postponed or cancelled, OneRace will communicate the options available to Participants. Depending on the circumstances and costs already incurred, these may include entry to the rescheduled Event, a transfer, deferral, credit, virtual alternative or refund.

OneRace is not responsible for personal expenses incurred in connection with an Event, including travel, accommodation, equipment or other associated costs. Participants are encouraged to make refundable arrangements or obtain suitable insurance.

6. EVENT RULES AND PARTICIPANT CONDUCT

Participants must:

Follow all instructions given by event staff, marshals, medical personnel, venue staff and emergency services.

Comply with the rules published for the Event and any applicable rules of the relevant governing body.

Treat other participants, staff, volunteers, spectators, contractors and members of the public with respect.

Remain on the marked course and obey signs, barriers and safety directions.

Use suitable clothing and properly maintained equipment.

Stop or withdraw when instructed to do so for safety, medical, cut-off-time or operational reasons.

OneRace may refuse to allow a Participant to start, or may remove or disqualify them, where this is reasonably necessary for safety, the proper operation of the Event or the enjoyment of others.

A Participant who is removed or disqualified because of unsafe behaviour, abuse, cheating, unauthorised entry transfer or another breach of these Terms will not normally receive a refund.

Headphones may be restricted or prohibited depending on the Event, venue, governing-body rules and whether roads are open to traffic. Participants must follow the event-specific instructions and remain able to hear warnings and marshal directions at all times.

7. TIMING, RESULTS AND PRIZES

We and our appointed timing providers will take reasonable care to record accurate results, but technical failures, human error or unforeseen circumstances may occasionally affect timing information.

Results remain provisional until verified and may be corrected after publication. Any placing, prize or award may be changed where a result is corrected, a rule breach is identified or a Participant is disqualified.

Published results may include the Participant’s name, participant number, gender or category, age category, club, finishing position and finish time.

8. MEDICAL ASSISTANCE

By entering, the Participant authorises event medical personnel to provide first aid and to arrange further treatment where they reasonably believe it is required.

In an emergency, relevant medical and emergency-contact information may be shared with medical providers and emergency services.

The Participant remains responsible for any personal medical requirements and for carrying medication they may need, unless different arrangements have been agreed in advance.

9. PERSONAL BELONGINGS

Participants are responsible for their belongings at all times.

Where an Event provides a staffed bag-drop, OneRace will take reasonable care but cannot guarantee the security of items. Valuables should not be left in bags. Liability for loss or damage is excluded to the fullest extent permitted by law.

10. PHOTOGRAPHY AND FILMING

Photography, video and audio recording may take place at the Event.

OneRace and its authorised partners may use event images and recordings for reporting, editorial, promotional and marketing purposes across print, websites, email, social media and other media.

Participants may take photographs or recordings for personal, non-commercial use, provided they act safely, respect the privacy of others and follow any venue or safeguarding restrictions.

Anyone with a safeguarding or other serious concern about the use of an identifiable image should contact OneRace.

11. LIABILITY

OneRace will take reasonable care in organising and delivering the Event. However, participation in sporting events involves risks that cannot be completely eliminated.

To the fullest extent permitted by law, OneRace is not responsible for loss or damage arising from risks inherent in the Event, a Participant’s failure to follow instructions, the acts of unrelated third parties, or circumstances outside our reasonable control.

Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.

12. PERSONAL INFORMATION

We process personal information in accordance with our Privacy Policy.

Participants agree to receive operational communications necessary to administer and safely deliver the Event. These may include entry confirmations, event instructions, safety updates and notifications about material changes.

Marketing preferences can be managed separately and do not affect essential event communications.

13. DECISIONS AND COMPLAINTS

Operational and safety decisions made by OneRace, its appointed officials, medical personnel and governing-body representatives will be final on the day of the Event.

Questions or complaints should be submitted through the contact page on our website. We will aim to investigate and respond within a reasonable period.

14. GENERAL

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in effect.

A delay or failure by OneRace to enforce a provision does not waive our right to enforce it later.

These Terms, the relevant registration information and the event-specific policies form the agreement between OneRace and the Participant regarding entry into the Event.

These Terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights that apply in another part of the United Kingdom.
